All such data is collected and processed strictly to enable and improve knowledge retrieval, workflow automation, and platform performance for the Client’s internal use.
3. Data Storage
The Platform is engineered as a private knowledge infrastructure for enterprises. In typical deployments:
- All indexed knowledge, content, and related metadata are stored in secure internal databases or storage systems associated with the Client or CODE4UTECH’s managed environment.
- The Platform uses local database technologies and search indexes to deliver fast, low-latency knowledge retrieval.
- Access to these storage systems is controlled through appropriate authentication, authorization, and infrastructure security practices.
4. No Data Sharing with External AI Providers
A core design principle of the Platform is to reduce dependency on public cloud AI endpoints for sensitive enterprise data. Unless expressly agreed in a separate contract:
- The Platform does not transmit client knowledge data to third-party AI providers or external large language model (LLM) APIs for processing.
- No external AI or language model service is used to train on, store, or mine the Client’s confidential or proprietary information.
- All AI-powered retrieval, ranking, and automation logic runs inside the deployed environment under the control of the Client or CODE4UTECH, as defined in the service agreement.
This architecture allows businesses to deploy intelligent knowledge assistants without relying on external AI API services, strengthening privacy, compliance, and trust.
5. Security Measures
CODE4UTECH is committed to protecting the confidentiality, integrity, and availability of Client data processed through the Platform. Security measures typically include:
- Hardened server infrastructure and secure hosting environments with industry-standard configurations.
- Access control mechanisms such as role-based permissions, authentication layers, and network-level safeguards.
- Database protection including configuration best practices, restricted access, and regular maintenance to reduce vulnerabilities.

Specific security implementations may vary based on whether the deployment is managed by CODE4UTECH or hosted directly by the Client within its own infrastructure.
6. Data Usage
Information indexed or logged by the Platform is used solely for:

- Optimizing automation flows and search performance for internal teams.
- Monitoring system health, stability, and technical performance over time.
- Diagnosing and resolving technical issues when the Client requests support.
CODE4UTECH does not sell or monetize Client knowledge data. All processing is aligned with the Client’s operational needs and service agreement.
7. Data Retention
Knowledge data, indexes, logs, and related information are retained:
- For as long as required to operate the Platform effectively for the Client; or
- In accordance with specific retention periods outlined in the service agreement; or
- As required by applicable legal, regulatory, or contractual obligations.
Upon termination of a service agreement or at the Client’s written request, CODE4UTECH will follow agreed procedures for data export, anonymization, or deletion, where technically feasible.
8. Client Control
The Client maintains control over its own knowledge data at all times. Subject to technical and contractual constraints, Clients may:
- Decide which data sources, websites, or documents are included or excluded from indexing.
- Update, correct, or remove specific indexed content from the Platform’s knowledge base.
- Request clarification on how data is processed within their deployment.
- Request removal or decommissioning of stored knowledge data in accordance with the service agreement.
